Latest Records Management Offering Improves Access Control, Accommodates More Users

WASHINGTON--()--Alfresco Software, the leading open-source provider of Enterprise Content Management (ECM) and Business Process Management (BPM) solutions, today announced advances that increase the security and simplify the management of classified content, particularly for large-scale deployments like government agencies, with its latest release of Alfresco Records Management 2.4.

As the only open-source solution certified compliant with the DoD 5015.02 specification, the Alfresco Records Management module helps agencies meet the numerous regulations, requirements and mandates governing how they manage their information and assets. This latest version enhances security controls by adding granular content classifications and access controlled by a user’s security clearance. Users are only allowed to access content classified up to their clearance level. For example, a user cleared to see “Secret” information will have access to content classified “Secret” and “Confidential” but will have no access to, or knowledge of the existence of, any content classified “Top Secret.”

The Alfresco Records Management module also supports U.S. government standards for data cleansing and has been designed with scalability to meet the needs of state and local governments with hundreds of users and large enterprise organizations with thousands of users. This level of security and scale is critical for government agencies, particularly the military and intelligence community, as well as other highly regulated industries such as financial services.

On top of all of these are government-wide mandates that emails be handled electronically by the end of this year and that all agency records be managed electronically by 2019.

If these requirements aren’t challenging enough, agencies must often use older legacy ECM systems that are cumbersome, costly to maintain, are not agile enough to readily handle newer applications and are not user-friendly for the workforce. As a result, user-adoption is difficult at best, and at worst, antiquated solutions force employees to resort to unsanctioned consumer applications outside of the approved systems.
