Digital Signatures Enhance Shift to Paperless Processes at Brainlab

Supplementing SharePoint with CoSign® digital signatures enables the medical device company to keep processes electronic throughout

SAN FRANCISCO--()--ARX, Inc., the leading provider of digital signature solutions, recently implemented the CoSign® digital signature solution at Brainlab, a Germany-based developer and manufacturer of software-driven medical technology. In the near future, Brainlab’s Germany-based employees will use CoSign to digitally sign Word, PDF, and InfoPath documents stored within SharePoint.

The idea to implement digital signatures and go paperless with approval processes was initiated by Brainlab’s IT department with the focus of increasing efficiency and environmental friendliness. The goal was to implement a Smartcard-free, centralized solution that would be easy to use and manage. “Signing digitally with CoSign digital signatures is very easy—even non-technical people can do it. By using less paper, we’re able to involve more people and have more efficient workflows,” said Steffen Kammerer, Manager of IT Infrastructure, Information Technology at Brainlab.

CoSign digital signatures are currently used by Brainlab’s Human Resources department members and department managers across the company for signing a variety of documents, including annual employee reviews.

“We chose CoSign primarily because of usability factors and how easy it is to deploy. All kinds of employees beyond IT people will be signing digitally, so it was important that the solution be easy to use. We were also drawn to the way CoSign handles certificates; everything is done in the background, which is a great advantage considering how difficult it would be to manage our own certificates,” said Kammerer. He noted that CoSign’s compliance with FDA’s 21 CFR Part 11 was also a key factor.

Another highlight of the CoSign digital signature solution that appealed to Kammerer was extensive application support. CoSign’s seamless integration with the most popular document types, including PDF and Microsoft Word, enable the solution to be easily adopted into existing processes with little burden on IT. Brainlab plans to use CoSign to supplement its SharePoint deployment: “Integrating digital signatures with SharePoint will allow us to keep our processes fully electronic by signing documents digitally instead of reintroducing paper,” said Kammerer.
